The question we get asked before any other is some version of “are we too late?” Usually the answer is no. But the honest answer is that lead time changes what is still possible, and knowing where the cut-offs sit lets you plan around them instead of discovering them.
Here is how far ahead we actually need, why the numbers differ, and what you can still do when the date is close.
The short version
Festivals and large productions: six to eight weeks. That is the window where we can secure both the equipment and the crew without compromise.
Corporate events and galas: two to three weeks. Smaller footprint, fewer moving parts, faster to lock.
Anything shorter: ask anyway. We accommodate urgent bookings where we can. What we will not do is take a date we cannot deliver properly, so you will get a straight answer rather than an optimistic one.
Why a festival needs longer than a gala
It is not the size of the rig. It is that equipment and crew are finite, and on a busy weekend in Nairobi everyone wants the same line array and the same engineers on the same Saturday.
A festival also carries structures. Staging, roofing and rigging have to be engineered against your site and your load plan, and that is design work before it is hire. Add content for the LED wall, which has to be built to the panel map and tested on the real wall at the real resolution, and six weeks stops looking generous.
A gala in a hotel ballroom has a known room, known power and a known load-in route. Most of the unknowns that stretch a festival timeline are already answered.
The thing with a longer lead time than the rig
Merchandise. Branded apparel, crew shirts, lanyards and giveaways are produced off site by a third party, and printing plus delivery does not compress the way a technical plan does.
If branded items are part of the plan, raise them in the first conversation rather than the week before. Everything we build on site can flex. A print run cannot.
What actually holds your date
An enquiry does not hold anything. Neither does a verbal yes, and neither does a quote sitting in your inbox.
Your date is held when you have accepted the quotation in writing and met whatever deposit it specifies. Until then the equipment stays available to whoever confirms first. This is not a sales tactic, it is just how a finite inventory works across a calendar, and we would rather say it plainly than let you assume you are covered.
What we need in order to quote
Three things get us most of the way: the venue, the date and the guest count.
Anything you already have on technical requirements, running order or brand artwork sharpens the number. If something is still undecided, say so. We will quote a sensible assumption and flag it as one, which is more useful to you than a number that quietly assumes something you have not agreed to.
You get an itemised quote rather than a single figure, so you can see what each part of the production costs and adjust the scope before committing rather than after.
If the date is already close
Tell us the date first, before the detail. That one fact determines whether the rest of the conversation is worth having, and we can answer it quickly.
Where a full build is not achievable in the time, there is usually a version that is. Every one of our services can be booked on its own, so bringing us in for one department alongside your existing suppliers is a normal way to work rather than a fallback.
Changing your mind after booking
Scope can move after booking, within reason and within the lead time. Equipment and crew are reserved against your date, so additions are easier eight weeks out than eight days out.
What will not happen is a silent change. If an adjustment affects the plan or the price, we tell you before it is made, not on the invoice afterwards.
The practical summary
If you have a date, send it now even if nothing else is settled. Early contact costs you nothing and keeps your options open. Late contact does not always cost you the event, but it narrows what the event can be.
